CTG Research Center Support Administrator in Yorktown Heights, New York

CTG is assisting a client in Yorktown Heights, NY for a Procurement Assistant!

Duration: Long-Term Contract

Pay Rate: Between $40,000-$55,000/year (based on experience)

Required skills :

  • Customer service skills, Interpersonal skills, Teamwork skills, Organizational skills, Communication (Oral and Written), Proficient in Microsoft Suite programs, Mural, Box, Trello, Multi-tasking skills and experience working in a high-profile environment.

  • Nice to have experience with the following: Ariba and Concur

Scope:

  • For the Research Support Center (RSC), which is located at the Thomas J. Watson Research Center in Yorktown and requires a high level of professionalism and attention.

  • Staff will interact with Researchers, Fellows, Distinguished Engineers, management, SVPs and Executive level management. Duties include performing various operational and administrative assistant tasks.

  • The RSC staff supports logistics for client engagements (both on and off site), special events and back up to Yorktown Lobby Coordinator.

Act as a resource for Research employees’ work requests such as:

  • Direct interface with Research employees’ that come to the RSC in need of support

  • Facilitate in preparing required Research and/or Corporate process forms, obtain needed approvals and ensure local and global process guidelines are being followed including records retention

  • Submit, Process & Track Accounts Payable and Buy assigned requests in a timely manner

  • Monitor the Research Support Center functional id and distribute/assign requests to appropriate RSC team member

  • Assist with operational inquiries including Travel by Concur, CTEBA – Compliance with Transportation Entertainment and Business Amenities

  • Aid with calendar invites, conference room reservations and all logistical needs in support of client engagements

  • Scheduling quarterly (as needed) Disclosure Meetings

  • Act as back up to Yorktown Lobby Coordinator

  • Prepare visitor badges at the end of each day for the next day from the Visitor Access Request Database. Handle “unannounced” visits – those who are not pre-registered; process employees who have forgotten their badge.

  • Complete annual security training (Panic Alarms, Recognition and Handling of Suspicious Articles and Threat Calls)

  • Be aware of wireless access process and assist guests in obtaining access

  • Understand full scope of Site Operation Support, and appropriately assist for resolution
