Currently, our valued client in Whippany, NJ has an opening for a Contract Specialist to support their Latin America Medical Affairs Team. This position is a part time 24 hours a week contract funded through end of year, extendable.
Individual will be supporting Latin America Medical Affairs with all contract and payment related tasks associated with external meetings.
Duties and Responsibilities:
Collaborate with HealthCare Providers, Agencies, Medical Affairs Regional Medical Advisors, Law & Patents, and Accounts Payable
Follow standardized process with existing templates for advisory board meeting with HCPs
Responsible for processing contract request and ensuring compliance by obtaining compliance approvals from the client’s Country Compliance Officers for honorariums, accommodations, airfares, transportations, meals, etc.
Researching the Crystal Data Warehouse to obtain HCP/HCO Group ID numbers and Consent Dates, contact Country Data Stewards to initiate consent/handover dates if needed, before processing agreement requests with the Law and Patents Department;
Process payments for HCP’s including obtaining the required tax documentation and verifying bank information to ensure they are compliant within this highly regulated environment and reported within the specified timelines into the Focus (Sunshine Act) and Crystal Data Warehouse;
Manage high level, professional relationships with both external customers and internal business partners by keeping them informed of the status of pending contracts/agreements and HCP/KOL payments;
Follow instructions or guidelines based on department’s SOP’s, Ensure compliance with all relevant SOP’s, promote and adhere to the Bayer HealthCare Compliance Program, including but not limited to the Bayer HealthCare Code of Conduct and applicable policies and procedures;
Organize, maintain electronic files, update trackers, and facilitate the timely retrieval of information
Generate status reports as needed
Education and Qualification Requirements:
High School Diploma with at least 3 years relevant experience related to the pharmaceutical/healthcare industry OR, Associates Degree or Business School Diploma with 2 years relevant experience related to the pharmaceutical/healthcare industry
Highly developed written and verbal communication skills at all organizational levels
Excellent organizational/follow-up, interpersonal & time management skills
Must be able to work under pressure and use initiative, troubleshoot and resolve issues
Strong knowledge of processing payments and vendor set ups in SAP (or similar payment system)
Attention to detail is required with thorough process orientation skills and demonstrated ability to provide timely and accurate feedback
The position incumbent is required to conduct him/herself in an appropriate business manner adhering to a high ethical standard
Fluent in English
Excellent computer skills: Excel, Word, PowerPoint, Outlook, etc.
Working knowledge of legal and compliance regulations related to Industry Knowledge of information technology systems
Prior experience with pharm industry
Fluency in Spanish would be a strong plus
The maximum W2 hourly pay rate is $26.50/hr., based on experience and ability.
