CTG Administrative Assistant II in Las Vegas, Nevada

CTG is seeking to fill an Administrative Assistant II opening for our client in Las Vegas, NV.

Location: Las Vegas, NV

Duration: 6 months

Primary Responsibilities:

  • Perform a wide range of administrative duties including compiling reports, correspondence, and more.

  • May perform routine data processing and/or data verification for routine processes.

  • Schedule appointments and maintain calendar for manager. Coordinate all travel arrangements.

  • Receive, screen, and direct incoming calls, visitors, mail, and email. Prepare responses to routine correspondence and inquiries.

  • Prepare and arrange business presentations, management letters, and other communications, including agendas, meeting minutes.

  • Prepare disbursements and billings for approval. Maintain financial expense records.

Scope of Responsibilities:

  • Board Meetings:

  • Board of Directors Meeting Packet: Scan and file signed minutes in the minute book & on the server.

  • Bind Board of Directors Meeting Packets for meetings and send hard copies via UPS to clients as needed.

  • Client Requests:

  • Document Preparation: Review, edit, and question documents as necessary.

  • Daily document signing for clients: Prepare documents for signature, review key items, and save in electronic folder for signature.

  • Document Execution:

  • Sign as a witness as needed.

  • Scan, email, send via UPS, and file executed documents.

  • Filing:

  • Electronic and paper filing of documents such as bank/analysis statements, correspondence, custody/brokerage licenses, and miscellaneous mail.

  • Office Administration:

  • Provide front desk support during board meetings.

  • Accept UPS and FedEx deliveries.

  • Process mail forwarding.

  • Provide notary support as needed (optional).

  • Mail Processing: Open, distribute, stamp, scan, email, and file mail.

  • Prepare and maintain conference rooms.

  • Maintain common areas of the office.

Education and Experience Required:

  • High School diploma or GED.

  • 2 years of related experience.

  • Advanced knowledge of Microsoft Office Suite & Adobe.

  • Familiarity with database management and data entry & accuracy.

  • A current Nevada notary is optional but preferred.

Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
