CTG HSEQ Administrative Assistant in Hebron, Ohio
CTG is seeking to fill a HSEQ (Health, Safety, Environment, and Quality) Administrative Assistant opening for our client in Hebron, OH.
Location: Hebron, OH
Duration: 12 months
Pay Rate: $21.00/hour
Work Hours: General work hours would be 7:30 am to 4:00 pm Monday through Friday, with a 30-minute unpaid lunch break.
Duties:
Medical Monitoring Program
Assist in the planning and scheduling of annual health screenings for employees.
Assist with the planning and completion of required hearing testing and respiratory fit testing for employees.
Assist in the planning and completion of random drug screenings for employees.
Provide medical records to corporate health representatives via internal software.
Ensure HIPAA regulations are followed in all medical monitoring activities.
Assist in the coordination of blood drives and wellness initiatives.
Employee New Hire Onboarding
Create site IDs for new hires.
Provide forklift keys to new hires upon completion of necessary training.
Provide uniform information and agreements to new hires.
Assist with conducting initial fit tests and issuing respiratory protection as needed.
Assist in creating molded earplugs for employees as needed.
Manage Employee Uniform Program
Oversee employee uniform and site mats/rugs accounts.
Maintain uniform agreements, including onboarding, uniform changes, and the return of uniforms for exiting employees.
Administer the safety shoe allowance program for all employees.
Site Safety Program
Maintain records for safety inspections (e.g., safety showers, ladders, bio-cabinets, fire extinguishers).
Manage the G Force Forklift program, including issuing keys, resetting keys, and providing forklift data during incidents.
Maintain proactive safety files and report status each month.
Collect and review Job Safety Behavior Observations (JSBOs) and escalate to the HSEQ Manager as needed.
Participate in monthly Central Safety Meetings and assist in preparing presentation data.
Enter new SDS sheets into the global SDS management system.
General Administrative Duties
Assist the HSEQ Team with the development and maintenance of HSEQ procedures.
Scan and file production and laboratory records.
Serve as backup coverage for the front desk and supervise the “box lid” crew as needed.
Perform front desk duties, including greeting visitors, answering phones, processing mail, and providing information to callers.
Skills:
Strong organizational skills with attention to detail.
Ability to manage multiple tasks and prioritize effectively.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to communicate clearly and effectively with internal teams and external visitors.
Strong knowledge of HIPAA regulations.
Ability to maintain confidentiality and handle sensitive information appropriately.
Education and Experience Required:
HS Diploma, proficiency in Microsoft Office software (Outlook, PowerPoint, Word & Excel), ability to learn and utilize site specific software as required (i.e. medical monitoring, fit testing, audiogram, etc.)
High attention to detail and discretion in handling employee records/information to ensure they are maintained under strict confidentiality, great multitasking and organizational skills, and a high level of team collaboration.
Previous experience in an office environment preferred, experience in HSEQ or medical capacity a plus.
Must be willing to sign a Non-Disclosure Agreement to perform medical paperwork functions and transfer the data into medical database.
Become certified in CAOHC (Hearing Conservation)
Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
