CTG is recruiting a MOC Coordinator who has experience working with engineering information management to join our Information Management and Document Control Services team in Anchorage, Alaska.
Provide Document Management System (DMS) user support
Provide a search, retrieval, ordering and re-filing service for end users to access documents stored both physically and digitally
Provide timely delivery of document control services
Maintain document file systems, indexes & document registers for critical documents, both physical and digital
Arrange scanning and copying of documents for input to the DMS
Manage lifecycle of documentation and correspondence received and transmitted externally/internally and ensure they are registered, numbered (as applicable), distributed, controlled and filed
Transmit documents to and from third parties, including partners, vendors, regulatory agencies and other external bodies
Administer security permissions for document management systems
Provide guidance to the correct assignment of document numbers and attributes
Ensure appropriate approvals are obtained prior to publishing information
Maintain revision history for controlled documents, formal registers and links in OMS Navigator
Responsible for data (attribute) integrity of DMS
Role Specific Duties
Sheppard MOC process; including tracking, maintain register with current information on the status of the work and any pending issues that may affect processing the MOC.
Conduct MOC meetings for facilities.
Liaisons with the Turnover Coordinators, receiving & reviewing the Turnover Documentation and subsequent final redlines verifying that all necessary documentation has been received before Start Up.
Network with engineers/specialists to ensure proper engineering approvals are completed prior to installation.
Ensure training material is provided to affected start up personnel prior to start up.
Transmit turnover to documentation for as-built and closeout
Custodian for the Master P&ID binders at each facility Requirements
High school diploma required
Associates Degree preferred
Bachelors Degree helpful
4 years experience working with engineering documentation required
2 years MOC experience
Experience creating and running macros in Microsoft Excel
Experience creating and maintaining Access Databases
Visual Basic Programming experience preferred
Required Skills / Competencies
Documentum or similar document management systems
4 years expertise with engineering information management and document control business processes in the oil and gas business
Expertise in the MOC processes
Expertise with Information Management and Document Control business processes in Oil & Gas
Knowledge of Process Safety Information and Management of Change regulation per OHSA 1910
Experience in auditing project deliverables and reporting overdue or non-compliant deliverables
Advanced knowledge and experience of Project lifecycles and experience with facilitating project information handover and working with PMs to complete their deliverables
Knowledge & experience with information and document control systems and databases related to engineering information and preferably in oil & gas industry.
Documentum or similar document management system
Proficiency with Windows operating systems and Microsoft Office documents; especially Word and Excel
Proficiency with excel; macro’s and visual basic function
Problem solving aptitude, works with minimal supervision, sees opportunities for improvement and is a team player
Knowledge & experience with major equipment and instrumentation – classification, naming standards, Maintenance Management Systems
Detail oriented for accuracy in database entries and document registration
Experience with quality systems
Basic understanding of AutoCAD and other CAD application skills
Customer service oriented/experience
Can follow written procedures
Experience and knowledge of concurrent engineering practices and management tools
Use of database information to formulate reports
Knowledge and experience in refinery processes and business processes
Knowledge and experience with management of Capital and Expense engineering, design and construction projects and project stages including management of as-built drawings
Fundamental knowledge of Piping, electrical and instrumentation drawings
Knowledge and experience with auditing systems and documents
Able to handle the movement of papers, packages and books weighing up to 10 lb
