CTG's premier global client in Oak Creek, WI, 53154, has a 5 month assignment for a Administrative Assistant 2.

Major Contributing Activities:

Applicant must be very well organized, detail orientated, flexible, independent and possess good communication skills. Applicant will be required to communicate both via email, telephone and face to face. There are several groups within our organization and as well external customers. Applicant must have a positive and pleasant disposition as this position requires many varying tasks.

A portion of the duties are time sensitive therefore applicant must be very well organized to ensure that these duties are performed timely. Some duties will be repetitive and will need to be done on a daily basis. It is important that the applicant be able to prioritize effectively.

Strong Microsoft Excel skills are required. Basic Access skills would be useful. Applicant will also need to use Tandem and Oracle. Applicant must also be able to learn quickly how to navigate through customer websites as there is information that will need to be processed and/or retrieved from these several websites.

Good attendance is a must for this job particularly during month end and couple of days in the new month. Applicant must be able to work overtime if required.


  1. DAILY processing consignments – entry into Tandem (and possible manual billings). This is a daily requirement for one customer. Time sensitive task.

  2. Month End and Weekly processing of consumption billings (either directly into Tandem or manual billings). Time sensitive task.

  3. DAILY Monitoring of OC Invoice Inquiries Mailbox: this entails reviewing emails and determining where to send the inquiry (customer service, credit department, support specialist) OR handling the inquiry, based on the nature of the issue.

  4. DAILY Monitoring of the 800 line: this entails listening to phone messages and determining where to send the inquiry (customer service, credit department, support specialist) OR handling the inquiry, based on the nature of the issue..

  5. DAILY distribution of the unauthorized deduction documentations (work in Oracle)

  6. Entry of invoices into external websites.

  7. Obtaining proof of deliveries- either contacting a freight carrier by phone or requesting through freight carrier website.

  8. Writing up manual credits and billings as directed.

  9. Emailing invoice copies (this task can be time sensitive)

  10. Forwarding customer remittances to appropriate lockboxes. Time sensitive.

  11. Creating customer contract folders

  12. Ordering office supplies and printer cartridges

  13. Basic administrative duties:

o Postal Mail and Email: some mailing of documents is required

o Priority Mail: some mailing via priority mail is required

o Distributing incoming mail

o General filing in a timely basis

o Year end activities, boxing/labeling files and creating files for the new year.

This position is compensated per hour on a W2 hourly basis (no C2C or 1099's).
