Project Location: Raleigh, NC

Job Title: Document Control Specialist

Essential Job Functions:

Document Management System (DMS) Support:

• Maintenance of document standards assist in writing standard operating procedures and work instructions

• Provide administrator support for the DMS Database

• Manage users, access, security, etc.

• Communicate and train on tool capabilities and updates

• Create reports

• Provide data entry and correction for locations with difficult access

• Monitor document compliance within the system

• Liaise with IT to troubleshoot and make system changes

• Provide direct phone support to users

• Formatting

• Flowcharts

• Editing documents

Communication and Training:

• Draft / Edit communications and presentations

• Coordinate intranet, SharePoint documentation and records

• Support project management status reporting

• Organize written assets so they are easily accessible

• Create, format and maintain training materials

• Coordinate third party training courses / workshops

• Track training completion within the function on Training Management System (TMS)

• Coordinate training notifications, registrations, and logistics for the function

Audit Management System Support:

• Collect post-audit records, compile data, enter report findings into the TrackWise database and distribute final audit reports

• Manage users, access, security, etc.

• Communicate and train on tool capabilities and updates

• Create reports


• Schedule travel locally and globally

• Manage meeting request along with logistics

• Manage Travel expenses

Required Qualifications:

• High school graduate plus 5 years relevant experience; degree in communications, technical writing preferred

• Advanced computer literacy (including use of database and other electronic document management tools, excel, word processing, power point and e-mail);

• Independent worker who requires minimal supervision;

• Deadlines and assessing/juggling shifting priorities in a rapid-pace environment;

• High standards of personal accuracy and initiative; accurate proofreader

• Language skills: English (Portuguese and/or Spanish a plus);

• Strong organizational skills to manage multiple responsibilities and tasks requested by multiple people;

• Detail oriented to perform accurate data entry and system administration and security;

• Quick learner that adapts easily to new technology, changing requirements and challenging system issues;

• Strong service orientation, good interpersonal skills and able to project a professional and positive reflection on the Stewardship function;

• Ability to work effectively with global team including cultural awareness and effective communication.

• Must be a quick learner with software systems and databases; experience in TrackWise, Quality OnLine and/or OnCourse a plus
