Job Title: Administrative Project Assistant
The Quality team of the Breeding & Trait Development is working on a specific project with the goal to harmonize and structure its document management system (QMS) with a focus on procedures and database. The Quality team is working with 20 breeding experts across countries. Part of that team is an Administrative Project Assistant with the main goals to track and evaluate the project progress, provide the administrative support (SharePoint site, MS. Word and Excel editing/formation, Documentation
database), communicate and collaborate with the project stakeholders. The job reports directly to the project-lead.
Essential Job Functions:
• Track the project progress
-Verify on the project master file the information such as: accountability, responsibility, deadlines and delivery of reviewed documents.
-Contact project stakeholders to update their information on the file.
-Develop visual attributes in the Excel Master File to allow better traceability of the documentation being reviewed or move to another status.
• Evaluate project progress
-Track documents being delivered and log their status in the review process.
-Analyze potential gaps and delay.
-Report evaluation information on a weekly basis
• Administration support
-Maintain the project SharePoint up to date
-Consolidate, edit and format multiple documents on Word
-Develop standard template to be used across geographies
-Maintain and develop Excel Master File
• Communication with project stakeholders
-Participate in writing the global monthly newsletter
• Collaboration with project stakeholders
-Act as a service provider to facilitate the work of the experts (template development, file update, etc.).
• Develop and provide and Document/Process database expertise
-Learn the Cara/MyDoc Documentation Management System
-Develop expertise to become an expert user of the system
-Evaluate and develop training material (based on existing training)
-Upload document to the database
• Bachelor’s degree required; Master’s Degree in fields such as: Business Administration, Project Management, executive administrator or assistant, documentation specialists, Quality Management,
Finance or Business preferred
• Minimum 5 years of experience, ideally at least 10 years, in an Agriculture or Science related industry or any large industry where documentation management is important
• MS Office Word and Excel with high knowledge level
• Document database experience
• Good interpersonal relationship, at ease to connect with a large and diverse group of people
• Good communicator
• Open to travel (less than 1day/month)
• Speak language other than English, such as German, French, Spanish or Portuguese
